Events people register for
Settings, Enquiries and applications, Events; the Events card on the patient portal's Home; the event's own page, from its shared link.
Events holds the organisation's webinars and evenings. Type a title under Another event and it is added, a fortnight ahead at seven in the evening and closed, so nobody sees it until it is ready. Every box saves as you leave it: when it starts, how many minutes, Online or In person, the number of places (empty for no limit), the join link for one online, the place for one in person, who is hosting, and a few sentences about it. Tick Open to offer it; untick it to stop new registrations while keeping everybody already registered. Delete removes the event and its list of who registered, and nobody is told.
For an online event, Zoom meeting beside the join link makes the meeting on the organisation's own Zoom account, the one set up under Video consultations, at the event's time and length, and fills in the link. People come in muted, with no waiting room, and nobody is in before the host. Change the event's time or length and the meeting moves with it; delete the event and the meeting is deleted too. Without a Zoom account set up, paste a link from anywhere instead.
Ticking Open puts the event on the patient portal's Home under Events, and every patient whose phone takes the portal's notifications is told once that there is a new event to register for; the notification never names it. Patients who turn notifications on later are told about events already open. Register keeps a place and emails a confirmation with the date and time, the join link or the place, and a calendar entry to add; the button becomes Registered, with Cancel beside it. Registering twice keeps the one place. A full event says Full; one that has started, or is closed, is no longer shown.
Every event still to come has its own page, and its address is under the event in Settings with Copy, WhatsApp and Email beside it. Share on the portal's Events card does the same for a patient, through the phone's own share sheet where it has one. Anybody with the link sees the event and can register with their name and an email address or mobile, and they are emailed and reminded like everybody else.
Everybody registered is emailed a reminder the day before and again an hour before, once each. Nobody is reminded of a place they took within that time, since their confirmation has just told them. Every email comes from the address set for enquiries under Enquiries; with none set, places are still kept but no email goes.
Under each event, the count of who registered opens the list: each name, with their email and mobile, opens their patient record or their enquiry, somebody who came through the shared page is marked Shared link, and a cancelled place stays on the list marked cancelled.
