Seen once
Seen once, under Patients in the menu on Start, or on the Consulted, no surgery group of the affordability profile.
The patients with one appointment behind them who left it there: exactly one past appointment in the practitioner's clinics that was neither cancelled nor marked as missed, nothing booked with them now, and no operation ever. Each one is named, with the day of that appointment and how long ago it was, whether anybody recorded them arriving, where it was held, and their email address and mobile number so they can be written to. The name opens the patient's record.
Beside each patient is a Follow-up box and a note, both saved as you change them. Write why they were seen only once and what should happen next, and choose Follow up or No follow-up needed. No follow-up needed takes the patient off the list: the row says so at once and they are gone the next time you press Show. Showing, Taken off the list, finds them again, with their notes, and choosing anything else in the box there puts them back. The tally says how many in the period were taken off, and the spreadsheet carries the decision and the note.
Where your organisation sends the check-in message (After a single consultation, in Settings), each row also has a Check-in message tick, ticked to begin with. Untick it for anybody who should not be written to. Somebody marked No follow-up needed is never sent it. The row says when the message is due, or when it went, or why it could not; once it has gone the tick is no longer offered.
Whether the patient actually came is only known where reception marked the appointment Arrived, Consulting or Departed. Most appointments carry nothing either way, and every one of those says Nobody recorded them arriving on its row, because an unmarked appointment is no evidence that the patient came and none that they did not. Attendance reads either half on its own, and the tally always gives the size of the half you are not looking at.
Choose the period and press Show. Seen at least is the number of weeks that must have passed since the appointment, twelve by default, so that somebody seen last month does not read as having decided against anything. Download CSV takes the whole list as a spreadsheet, with the attendance column in it, not only the five hundred the page shows.
An appointment marked Single visit, not a consultation pathway, on its own page or on the day's clinic list on Start, is a one-off visit and not a consultation that was left there, so a patient whose one appointment was marked is left out of the list and out of every figure. The tally says how many were left out that way.
A practitioner sees their own patients and is offered no choice of whose. A Director, a manager or IT Support chooses the practitioner, or asks for everybody at the organisations they work at.
The counting looks at every clinic that practitioner runs, wherever it is held, because somebody seen once at one place and once at another has been seen twice; the list itself shows only the patients whose appointment was somewhere you work yourself. An appointment the patient cancelled or was marked down as missing is not counted as a visit, and is noted beside their name. Having gone ahead means any operation at all, by any surgeon, with cancelled ones discounted, so the list errs towards leaving somebody out rather than telling you a patient never went ahead when they did.
