Payment runs
Payment runs, under Money in the menu on Start. Shown to people given approval rights.
A PAYMENT RUN PAYS APPROVED EXPENSES IN ONE GO. Next run lists the payment requests waiting on you, each with its payee, expense, bank reference and amount, and the total. Approve sends them to the bank as one bulk payment; you then press Bank, which opens your bank to approve the whole run once, on a computer. A run needs at least five payments, and Approve appears when there are five. Fewer than five wait until a fifth joins them, and Mark paid on an expense is still there for anything paid by hand.
HELD OUT lists what cannot go, and why: no bank details, bank details that are not a sort code and an eight digit account number, two different sets of bank details, more than one payee, or a request that cannot be paid yet. Where a payee has no bank details, Bank details opens four boxes in place; Save puts them on the payee's record and the expense joins Next run.
A PAYEE WHOSE BANK DETAILS CHANGED is marked Bank details changed beside their name, with who changed them and when. Details that differ from the last payment to that payee, and details added or edited here since, are marked until the payee has been paid again. Check these with the payee before approving.
SUBMITTED IS NOT PAID. When the bank accepts the run, its payments are Submitted. Each is marked Paid, and its expense marked paid, only when its own payment is seen leaving the account. A payment not seen three working days after the run was submitted is marked Not seen, and money coming back is marked Returned; both put a task on your list. A run the bank rejects goes back whole with the bank's reason and its expenses are ready for a new run.
The line at the top shows that Fedelsoft can read the account. It is renewed by itself before it runs out; if it stops, payments cannot be confirmed until it is set up again.
