Insured invoices
Invoices, under Money in the menu on Start, then Insured invoices.
Insured invoices lists every invoice billed to an insurer that is still open: not yet submitted, or submitted and not yet paid. At the top, the age of each since its operation is counted in bands, under 30 days, 30 to 59, 60 to 89 and 90 and over, with how many invoices and how much is in each. Press a band, or a chip above the list, to narrow the list to it.
Below the age bands, a second table counts the invoices not yet submitted by how long is left to submit them: the deadline has passed, 30 days or less, 31 to 60, 61 to 90, and more than 90, with how many of each are priced at nothing. The deadline is a number of months from the operation, six unless Chase says otherwise, and it is the invoice's submission that it governs, so a submitted invoice has none. Press a line to see just those invoices, soonest deadline first; each row says the day it has to be submitted by, in red once that day has gone.
Each row shows the insurer, the policy number, the pre-authorisation number, the operation and how many days ago it was, the amount and the status. The insurer is chosen from the organisation's list of insurers; the policy number, the pre-authorisation number and the status are written as soon as you leave the box. They are kept on the patient's payment details, so a change to them is a change to every invoice that uses those details. The booking form shows the same three boxes and writes to the same place. When a booking's invoice becomes insured, anything the external booking form recorded for the insurer, membership number or authorisation is carried onto those details once, into any box still empty.
For a person lists what Fedelsoft will not decide for you. An invoice with no insurer, or no payment details, is marked. So is an invoice that carries a procedure or an anaesthetic fee as well as the hospital's, which is not the hospital's to bill. An invoice with no consultant is marked too: Fill consultants gives each one the surgeon of its operation where exactly one person can be named, and leaves the rest, which you resolve by choosing the consultant on the row. The consultant is linked to the invoice, so the printed invoice names them beneath the organisation's address, as it does for any practitioner an invoice is linked to.
An invoice that totals nothing, because its lines were added while it had no insurer and so were priced at nothing, is marked Lines not priced. Choose the insurer, then press Price: each line is priced from that insurer's own price list. A line the insurer has no price for is left at nothing and counted, a line with a variant is left, and nothing is ever priced from the self-pay price. An invoice with no operation date is aged from its first line's date.
Remittances, linked at the top of Insured invoices, records what an insurer paid. Paste the remittance as Healthcode shows it, with its payment reference, the day it was paid and what it carried forward, and press Read. Each row is matched to an invoice by the membership number and the total, and the page says exactly what Record would do for it: a payment, a payment the insurer has taken back, or a shortfall and whether the insurer says it is the patient's. A row that cannot be matched, or could be more than one invoice, waits until you choose the invoice. Nothing is written until you press Record, and only the ticked rows are; pressing it twice records nothing twice. A payment is made on the invoice as if keyed there, by bank transfer on the day the insurer paid it, so the invoice becomes paid, part paid or open again by itself.
A submitted invoice whose payments already come to its total is marked Payments cover the total. Fedelsoft does not change its status; Paid on the row does, once you have looked.
A Director or IT Support also sees Chase and Insurers. Chase says who is given the to-dos, the first day of operation it applies to, the months an invoice has to be submitted within, and the days. For an operation on or after that day, an invoice that is not submitted is chased that many days after the operation, and a submitted invoice that is still unpaid is chased at each of the unpaid days. Operations before that day keep the single follow-up sixty days after the operation they have always had. Insurers is the list the insurer box offers: add an insurer that is named on payment details, and merge two spellings of one insurer so they count as one.
