The week
Duty schedule, under People in the menu on Start, for everybody.
The Leave fold shows each person's holiday in hours: taken and remaining in their current contract block, with their annual leave, public holiday and study leave also in hours. A person's day is their usual working day, taken from their weekly pattern or, without one, their contracted hours over five days. A day of holiday booked as a whole day counts as the hours that weekday carries on their pattern. Where a person has no pattern and no contracted hours, their leave is shown in days and the fold says so. Find a person at the top of the fold narrows the lines to the names containing what you type, a surname included.
Human Resources, Senior Managers and Directors change a person's entitlement in the Leave fold: open their line, then set when the contract starts, the hours a week, the annual leave in hours a year (leave it blank and it follows the contracted hours) and the hours carried over, and press Save. It is saved to their contract block and read back before the page says it is done. Nobody changes their own entitlement: your own line says another person does it, and the boxes are not there.
Add hours books leave as well as shifts: choose the person, the dates and what they are doing (Holiday, Public holiday, Study and the rest). For Holiday an Hours a day box appears: leave it blank for the whole day, or give the hours for a part day (a morning, three and a half hours). A part day shows on the week's grid as its hours, and is counted as those hours in the Leave fold. The Find a person box above Who narrows the list to the names and roles containing what you type, and when one person is left they are chosen for you. A day already booked is changed or removed by opening that day on the grid. You cannot add days for yourself.
A week at a time, a row per person, with each day's shifts and what they are doing. Leave shows as Away. The Hours column on the right is each person's worked hours for the week.
If you manage the rota you see every day in full, add hours and days for anyone, change what a day is and fill the roles nobody has been given yet. Everyone else sees who is working and their own days in full.
If you manage the rota, Clock times awaiting review appears under the heading whenever a clocked time has been changed, or put in afterwards, and nobody has reviewed it. Each line names the person, the day, what was asked, who asked and why. Approve counts the new time towards pay; Reject leaves the day as it was recorded. A change to your own time, or one you made yourself, has no buttons: another manager reviews it.
The rota shows one organisation at a time. If you work at more than one, Organisation at the top chooses whose rota it is, starting with the one you signed in at, and everything on the page then works exactly as it does for someone signed in there: who you can see, what you can change and where new days are made. A day at another of your organisations opens and saves at that organisation. Your own days open wherever they are.
