A person's day
Press a day on the week.
The day shows the planned times, the shifts, what the person is doing and the clocked times from reception; Missed beside them records a sign-in or sign-out somebody forgot. If you manage the rota, Change the times for this day opens the day's changes, where different times can be set for that one day without touching the usual pattern, and Record by hand starts a shift, for a bank shift say, which you then fill in under Pay line. Where the control is not offered, the page says why.
Clock times, under Hours, lists the day's recorded sign-ins and sign-outs. Change beside one asks for the new time, the reason and a tick on the declaration that the new time is accurate to the best of your knowledge. The recorded time is always kept. Until a manager other than the person has approved the change, the time is marked altered, awaiting review, and the day is still worked out from the time that was first recorded; once approved the new time counts. You can change your own times, and a manager of the rota anybody's. A sign-out made automatically at midnight or midday is not changed here: record the real time instead.
Change, beside what the person is doing at the top of the day, opens the day's own changes: what they are doing, and for a manager paid sick leave, the day's planned times, extra hours approved, and Remove day. Each needs a reason and a tick on the declaration, and is held. Nothing changes, or counts for pay, until a manager other than the person the day is about, and other than whoever asked, has approved it. A day that has been confirmed is not changed. Nobody can add days for themselves, fill a role with themselves or add a duty to their own day: another manager does that, and the controls are not there for your own row.
The pay line is held for review. Under a shift, Pay line shows the planned times, the paid times, the break and the rate, with a reason and a tick on the declaration; Save files the change, and Remove asks for the shift to be taken away. Nothing is written to the shift, or counted for pay, until a manager other than the person, and other than whoever asked, has approved it; a rejection leaves the shift exactly as it was. If you leave the page with something typed there and not saved, the browser asks you to confirm first. Notes on a shift save as you type. The rate is chosen from the rates the person has. Recording or re-recording the hours from the rule writes only the paid start and end and its note: a shift's planned times, break and rate are left as they are. Held changes show under Clock times as awaiting review, and in Clock times awaiting review at the top of the rota.
When a change or a pay line change is approved for a day that has already been confirmed with its hours recorded, the recorded hours are not changed on their own. The manager who approved is shown the hours recorded now and the hours with the change, and Re-record writes them only when pressed. Not now leaves the recorded hours as they are, and the day's Clock times keep showing that a re-record is pending, with Re-record beside it.
The Hours card and the confirm card both name the day's date. Confirming a past day is one press, and it goes on the log with your name. If the day is not right, for instance you were not working that day, Not right beside Confirm opens the day's own changes so you can say what happened; like any change it is held until a manager has reviewed it. Remove day takes a day off, once approved.
