Help / The rota

Who is signed in, and a missed sign-in or sign-out

Timesheets, under People in the menu on Start, or Missed beside the clocked times on a person's day.

Timesheets lists everybody signed in at your organisation's reception who is still marked as on site, patients and everyone else. Tick the people who have gone home, or Tick all, and press Sign out: each is signed out at the time now, at the organisation you are signed into. People still marked as signed in past the time they would have been signed out automatically are listed separately underneath and are signed out the same way, one tick at a time.

NOBODY STAYS SIGNED IN FOR EVER. Anybody still signed in at midnight who signed in at least twelve hours before it is signed out automatically at midnight; anybody who signed in later than that, for a night shift say, is signed out at midday the next day. The sign-out is recorded at midnight or midday and marked as automatic, and no hours are counted past the sign-in until somebody records the real time they left.

If you manage the rota, Signed out automatically lists everybody that happened to in the last fortnight. Correct opens the missed sign-out below on that person and day: give the time they really left and Record, and they drop off the list.

Under it, a sign-in or sign-out somebody forgot can be put in afterwards. Type the name, choose the person, say whether they signed in or out, give the date and the time, and for somebody who is not a patient say why they came. For a member of staff you also write the reason the time is being put in now and tick the declaration that the time is accurate to the best of your knowledge; then Record. If you manage the rota you can do this for anyone; otherwise for yourself only. A sign-in or sign-out recorded for an earlier day does not change whether the person shows as on site now.

A STAFF TIME PUT IN AFTERWARDS IS NOT COUNTED FOR PAY AT ONCE. It is marked as added, awaiting review, and counts towards the clocked hours on the rota day only once a manager of the rota other than the person has approved it. A manager who does not approve it leaves the day as it was. The same goes for a recorded time that is changed: see Clock times on a person's day on the rota, and Clock times awaiting review at the top of the rota for managers.
