Information sheets

Start, Documents, Information sheets; or New sheet beside the sheet search on an appointment's Information card.

The list shows every information sheet you can reach, A to Z. A sheet's title opens its page; the box above the list finds a sheet by its title. Recycle bin shows the sheets that have been archived. New sheet makes one and opens it, with its title ready to type over.

On a sheet's page you write the title, the text and the links, and each is saved as you go: the page says Saving and then Saved beside the title. The text takes headings, paragraphs, bold, bulleted lists and links; press Link, write the address and press Add. Add link puts a label and an address under Links; Remove takes one off.

A link to a YouTube video, whether a watch address, a short address or a Short, is shown to the patient as a player above the other links; the rest stay as links. Under the title the sheet says who can use it: Shared with everyone at the organisation, or Only you can see and use this sheet. Who can use it changes that; Only me is offered only to the person who made the sheet. Last updated says who changed the sheet and when, and History lists every change.

AI suggest writes or updates the text for you, where you have AI at the organisation. Tick what it may read, the sheet's links, the wider internet, or both, and press Suggest; it takes a minute or two. The suggestion appears below with a short summary, the text it proposes and the sources it read. Nothing goes into the sheet until you press Use; Dismiss throws it away.

AI suggest learns your rules. When you change a sheet after using a suggestion, it notes the standing rules your changes show, such as how long to stop smoking before and after surgery, and every suggestion and review it writes for you follows them, even where a source says otherwise. It learns only from your own changes: another surgeon's edits, even to a sheet you share, never become your rules, and their rules never shape your suggestions. Your rules are listed under the sheets on the Information sheets page: change a rule or remove it, or type a new one and press Return. A rule you write or change is yours, and learning never alters it.

Review sets how often the sheet should be checked, every 6, 12, 24 or 36 months, and Next review the date it is next due. Once that date has passed, AI checks the sheet overnight against its links and the wider internet. If it finds something new that a patient should be told, the person who made the sheet sees an Information sheet pill on Start and the suggested update waiting on the sheet, to use or dismiss. If nothing has changed, Last checked says so and the next review moves on. Using a suggestion also moves the next review on.

A patient always sees a sheet as it was when she was given it. If you change a sheet after giving it, the patient keeps the earlier text and the earlier title; nothing you change reaches back over what was already given. Give the sheet again from the appointment and she is given the new text, and her portal then lists the new version with the earlier one kept beneath it, marked Earlier version with the date it was given. A sheet that has not changed since it was given cannot be given twice.

Archive puts the sheet in the recycle bin, so it is no longer offered; Restore brings it back. Nothing is deleted. Anyone who can share a sheet can make one or change one. On an appointment's Information card, New sheet beside the sheet search makes a sheet in the appointment's organisation, puts it on the appointment and opens it in another window to write, with AI suggest if you want it. Edit beside a sheet on the appointment, or beside one found by its title, opens that sheet the same way; Appointment at the top of the sheet goes back.
